Welcome to The Psych Approach Clinic. These Terms and Conditions govern your use of our website, enquiries, bookings, telehealth appointments, and psychology services.

By accessing our website, contacting us, booking an appointment, or using our services, you agree to these Terms and Conditions.

If you do not agree with these Terms, please do not use our website or services.

1. About Our Services

The Psych Approach Clinic provides psychological services for children, adolescents, young adults, and parents, currently delivered online via telehealth only until further notice.

Our services may include psychological assessment, counselling, therapeutic intervention, parent support, letters, reports, and other related professional services where appropriate.

Our services are not a substitute for emergency, crisis, hospital, or acute psychiatric care.

2. Eligibility to Use Our Services

You may use our services if:

  • you are legally able to consent to treatment, or

  • you are the parent or legal guardian of a child or young person and are authorised to provide consent on their behalf, or

  • you are otherwise authorised to arrange services for the client.

We may request information to confirm identity, guardianship, authority, or eligibility for rebates or funding.

3. No Emergency or Crisis Service

The Psych Approach Clinic does not provide a crisis or emergency response service.

If you or another person is in immediate danger, or you require urgent support, call 000 immediately.

If you are experiencing a mental health crisis, suicidal thoughts, homicidal thoughts, or require urgent assessment, you should contact an appropriate crisis service such as:

  • Lifeline – 13 11 14

  • SuicideLine Victoria – 1300 651 251

  • Suicide Call Back Service – 1300 659 467

  • Beyond Blue – 1300 22 4636

  • your local Crisis Assessment and Treatment Team (CAT Team) if in Victoria

By using our services, you acknowledge that our clinic is not intended for emergency care.

4. Bookings and Appointments

Appointments can be requested through our approved contact or booking methods.

An appointment is only confirmed once it has been accepted by The Psych Approach Clinic.

We reserve the right to decline or discontinue services where clinically inappropriate, outside scope, unsafe, or otherwise not suitable.

Standard sessions are generally 50 minutes, unless otherwise specified.

We currently offer telehealth appointments only.

5. Telehealth Services

Because our services are currently delivered online, you acknowledge and agree that:

  • telehealth has benefits, including convenience and accessibility

  • telehealth may also have limitations compared with in-person care

  • a stable internet connection, suitable device, and private environment are your responsibility

  • telehealth may not be appropriate in every situation

  • the clinician may determine that another service, provider, or emergency pathway is more appropriate

Consistent with current AHPRA guidance, telehealth patients should be informed about what to expect, their identity should be confirmed, and informed consent should be obtained before proceeding.

You agree to attend telehealth sessions in a safe, private, and appropriate setting as far as reasonably possible.

We may end, reschedule, or refuse a telehealth session if there are safety, privacy, technical, behavioural, or clinical concerns.

6. Fees and Payments

Our current standard fees are:

  • $190 per 50-minute session on weekdays

  • $195 per 50-minute session on weekends

  • NDIS clients:$232.99 per consultation per hour

Additional fees may apply for:

  • reports

  • detailed letters or statements

  • administrative tasks

  • other non-session professional services

Short letters or statements taking less than 15 minutes may be provided at no charge at the clinic’s discretion.

More detailed letters or statements are charged at $40 per 15 minutes, rounded up to the nearest 15-minute increment.

All fees are payable in the manner advised by the clinic. We may require payment before, at the time of, or shortly after an appointment.

If payment is overdue, we may suspend future appointments, withhold non-urgent documents, or take reasonable recovery steps permitted by law.

7. Medicare

You do not need a GP referral or Mental Health Care Plan to book privately.

If you wish to claim a Medicare rebate, you are responsible for obtaining and maintaining a valid referral and Mental Health Treatment Plan / Mental Health Care Plan, where required.

Under Better Access, eligible patients can currently claim Medicare benefits for up to 10 individual and 10 group mental health services per calendar year, subject to eligibility and referral requirements.

Medicare rules can change, and eligibility is determined by the relevant government scheme rather than by the clinic.

Clients are responsible for checking their own eligibility and rebate entitlements.

We do not guarantee that any particular service will attract a Medicare rebate.

8. NDIS

We currently see self-managed and plan-managed NDIS clients.

It is your responsibility to ensure that:

  • your plan permits the service

  • the service aligns with your plan goals

  • sufficient funding is available

  • invoices are paid in accordance with your plan arrangements

Reports, letters, and additional documentation for NDIS purposes may attract separate fees.

We may decline requests for reports or documents that are outside scope, clinically inappropriate, or not supported by available information.

9. Cancellations, Rescheduling, and Non-Attendance

We ask that you provide as much notice as possible if you need to cancel or reschedule an appointment.

A cancellation fee may apply where insufficient notice is given or where an appointment is missed without notice.

By booking an appointment, you agree that the clinic may charge a cancellation or non-attendance fee in accordance with the policy communicated to you at booking or intake.

Medicare rebates generally do not apply to missed appointment fees.

If repeated late cancellations, non-attendance, or payment issues occur, we may pause or discontinue future bookings.

10. Client Responsibilities

By using our services, you agree to:

  • provide accurate and complete information

  • update us if your contact, emergency, Medicare, funding, or relevant clinical information changes

  • attend sessions on time

  • behave respectfully towards staff and practitioners

  • use the service lawfully and appropriately

  • ensure a child attends with appropriate consent and support where required

  • not record sessions without prior written agreement

You must not use our services in a threatening, abusive, harassing, or unlawful way.

We may suspend or terminate services where behaviour is unsafe, inappropriate, or prevents the provision of care.

11. Confidentiality and Privacy

We are committed to protecting your privacy and handling personal information in accordance with applicable privacy and health records laws, including the Privacy Act 1988 (Cth), the Australian Privacy Principles, and applicable Victorian health records obligations. Health records must be held securely and clients generally have rights to access them, subject to legal limits.

Please refer to our Privacy Policy for full details about how personal information is collected, used, stored, and disclosed.

Therapy is confidential, but there are important legal and professional exceptions, including where:

  • you consent to disclosure

  • there is a serious risk to your safety or another person’s safety

  • mandatory reporting obligations apply

  • records are required by subpoena or law

  • disclosure is otherwise authorised or required by law

The Psychology Board of Australia’s Code requires written and informed consent before sharing client information, including in contexts such as supervision or consultation.

12. Records, Reports, and Documents

We maintain records as required for professional, ethical, and legal purposes.

Any reports, summaries, letters, or documents prepared by the clinic:

  • are based on the information available at the time

  • are prepared for the specific purpose requested and approved

  • should not be altered, selectively reproduced, or used out of context

We do not provide letters, court reports, or statements for legal or forensic matters.

We reserve the right to decline document requests where the request is outside scope, clinically inappropriate, lacks adequate basis, or raises ethical or legal concerns.

13. Website Information and No Guarantee of Outcomes

Information on this website is provided for general information only. It is not medical, legal, or crisis advice and does not create a psychologist-client relationship unless and until services are formally engaged.

We aim to keep website information accurate and up to date, but we do not guarantee that all content will always be complete, current, or error-free.

Psychological services do not guarantee any particular outcome. Progress depends on many factors, including the nature of the concerns, engagement in treatment, outside circumstances, and clinical suitability.

14. Australian Consumer Law

Nothing in these Terms excludes, restricts, or modifies any rights or remedies you may have under the Australian Consumer Law or any other law where such rights cannot lawfully be excluded.

Under Australian Consumer Law, services supplied to consumers come with consumer guarantees.

To the extent permitted by law, and subject to those non-excludable rights, our liability is limited to resupplying the relevant service or paying the reasonable cost of having the service supplied again.

We do not seek to rely on any unfair contract term, and if any part of these Terms is found to be invalid or unenforceable, the remaining provisions continue to apply. The ACCC notes that standard form contract terms may be unlawful if they are unfair.

15. Intellectual Property

All content on this website, including text, branding, graphics, logos, layout, and design elements, is owned by or licensed to The Psych Approach Clinic unless otherwise stated.

You must not reproduce, republish, copy, modify, distribute, or commercially use website content without prior written permission.

16. Third-Party Platforms and Links

Our website or service delivery may use third-party systems for bookings, telehealth, forms, payments, or administration.

We may also provide links to third-party websites for convenience. We are not responsible for the content, privacy practices, availability, or security of third-party websites or platforms.

Use of those services may also be subject to their own terms and privacy policies.

17. Changes to Services or Terms

We may update these Terms and Conditions from time to time to reflect changes to our services, legal obligations, fees, systems, or operating model.

The latest version published on our website will apply from the stated effective date.

18. Governing Law

These Terms and Conditions are governed by the laws of Victoria, Australia.

Any dispute arising in connection with these Terms or our services will be subject to the laws and courts of Victoria, unless applicable law provides otherwise.

If you are in Victoria and need urgent mental health support, you can contact your local CAT Team. These emergency mental health services operate by region, so please visit the relevant website and select your area to find the correct number.
